Refund & Cancellation Policy

This Refund & Cancellation Policy explains how billing, cancellation, and refunds work for Zeta System LLC's advisory services. It applies alongside the written engagement agreement governing your services; where the engagement agreement and this policy differ, the engagement agreement controls.
1. Engagement and billing model
Services are provided on a fixed monthly advisory retainer under a written agreement. Retainer fees are billed in advance for each monthly billing period and are due upon receipt of invoice. Your engagement continues on a recurring monthly basis until cancelled in accordance with this policy.
2. Payment
Payments are processed by our third-party payment processor. You are responsible for providing accurate billing information and for any taxes, duties, or levies imposed by applicable authorities, which may be added to your invoice where required. Fees are stated and payable in U.S. dollars unless otherwise agreed in writing.
3. Cancellation
Either party may cancel the engagement at any time by providing 30 days' written notice to office@zeta-system.net (or as otherwise specified in the engagement agreement). Cancellation takes effect at the end of the current paid billing period, and we will continue to provide the agreed services through that period.
4. Refunds
Because advisory services are delivered continuously throughout each billing period, retainer fees for any period that has already commenced are generally non-refundable. Where a refund is required by applicable law, or is expressly agreed in the engagement agreement, any eligible refund will be calculated as described in that agreement and issued to the original payment method within a reasonable time.
5. Decision Clarity Guarantee
If, within an agreed engagement, we are unable to deliver the decision-support deliverables that are within the defined scope, we will continue to work at no additional cost until those deliverables are completed. This guarantee covers the delivery of our work product; it does not guarantee any particular business result or outcome, which remains subject to the assumptions and risk factors documented for each recommendation.
6. Price changes
We may adjust our fees from time to time. Any change to the fees for your engagement will be communicated in advance and will take effect from the next billing period after notice, unless otherwise agreed.
7. Disputed charges
If you believe you have been billed in error, please contact us first at office@zeta-system.net so we can review and resolve the matter promptly, rather than initiating a chargeback.
